How do I communicate with my Operations Manager?

The best way to reach your Stellar Ops Manager is through the Stellar Communicator (chat feature) in the Stellar App. Our in-app Stellar Communicator is your one-stop resource hub and messaging platform to request for Ops Manager support. You can quickly seek support, find FAQs, and receive live assistance during business hours. Our Stellar App is accessible through web browser and is also mobile-responsive.

Our Ops Manager work standard business hours, Monday through Friday, and are not expected to work after 6 p.m. or on weekends. You can send new tasks anytime — if sent after hours, your Ops Manager will respond the next available business day. During business hours, we respond to messages promptly and ensure you have the support you need.

Where is Stellar available?

How does Stellar work?

Stellar is an operating system with cutting-edge technology and a dedicated Operations Manager-as-a-Service to handle intricate back-office operations. It offers you a centralized data vault, ensuring a single source of truth for all your operational data, making compliance surprisingly easy. With a dedicated Stellar Ops Manager as your single point of contact, you won't need to deal with multiple parties or platforms anymore.

How does billing work?

All new Customers need to sign up a Stellar Ops Manager Plan to have access to our products and services. Customers pay-as-you-go or subscribe to a monthly plan that meets your needs.

Each monthly plan includes a set number of hours to be used every calendar month. For any hours your Stellar Ops Manager works beyond the included hours, you will be billed at the hourly rate according to your plan. For customers on the Stellar On-demand Plan, all support hours are billable at an hourly rate.

For customers on the Starter or Seed monthly plans, you will be charged in the first week of every new month the monthly subscription fee, plus any additional hours used in the previous month.

For customers on the Stellar On-demand Plan, you will be charged in the first week of every month the total hours used in the previous month.

How am I billed for other add-on services like monthly bookkeeping?

Stellar works with a network of 3rd party service partners to support our customers. The customer will be charged as per the cost of our partner service providers - Stellar does not markup any fees.

Stellar Ops Manager manages these relationships on our customers’ behalf and acts as their single point of contact for them, freeing them up from complex coordination to ensure the company is running smoothly.

Where possible, Stellar may consolidate invoices from multiple service partners under one invoice to simplify payments for the customer.

What happens if I stop paying my monthly Stellar subscription?

All customers who subscribe to our monthly plans can switch to the Stellar On-Demand Plan at any time. You will continue to have access to your account on the Stellar App. The corporate data will be updated only at the customer’s request. In this case, Ops Manager support will be charged on a pay-per-request basis at the prevailing hourly rate.

If a customer chooses to stop working with Stellar completely, they would still have access to their account on the Stellar App but data updates (through the app) will no longer be available.

Can unused hours rollover to the next month?

Unused hours cannot rollover. Your monthly hourly allowance will be refreshed on the 1st day of every month. Additional hours are billable at an hourly rate.

Customers of our monthly plans have the flexibility to switch to the Stellar On-Demand Plan anytime which gives them the flexibility to request for operational support when needed without a monthly commitment.

What counts as billable hours, and how are they tracked?

As a Stellar Ops Manager providing support to our customers, billable hours include the time spent directly assisting the customer with operational problem-solving and related activities. These hours are tracked using a systematic and transparent process to ensure accurate billing.

Activities considered as billable hours include:

  1. Consultations: Time spent in direct discussions with the customers or their team to understand and address specific operational challenges.
  2. Troubleshooting and Issue Resolution: The hours invested in diagnosing, investigating, and resolving operational issues that they encounter.
  3. Customized Solutions: Hours dedicated to creating tailored operational solutions to suit their unique business needs.
  4. Data Analysis: Time spent analyzing relevant data to gain insights and make informed operational recommendations.
  5. Implementation Support: Hours assisting with the implementation of recommended strategies and solutions.

To track billable hours efficiently, we employ a streamlined time-tracking system that allows us to log and monitor the time spent on each customer's case. This system ensures transparency and accuracy in invoicing.

Rest assured, we are committed to maximizing value-add to our customers within their monthly hours and delivering exceptional operational support.
